This Privacy Policy explains how Kaffeina Group Pty Ltd ("Kaffeina", "we", "our" or "us") collects, uses, stores, discloses and protects personal information when providing EOL_ONE, our cloud-based Equipment on Loan Software as a Service (SaaS) platform.
EOL_ONE is the proprietary Equipment on Loan management platform owned and operated by Kaffeina Group Pty Ltd.
This Privacy Policy applies to visitors to the EOL_ONE website, prospective customers, customers, authorised users of EOL_ONE, and individuals whose personal information is collected through our website or services.
This Privacy Policy does not apply to information processed solely on behalf of our Customers within EOL_ONE except as described below.

4. Customer Data
Most information stored within EOL_ONE is Customer Data.
Customer Data is owned by the Customer who uploads or creates it.
Kaffeina processes Customer Data solely for the purpose of providing EOL_ONE, maintaining platform security, providing support, hosting and backing up information, and complying with legal obligations.
The Customer remains responsible for ensuring it has obtained any necessary authority or consent to collect and use personal information stored within EOL_ONE.
Kaffeina does not use Customer Data for its own marketing purposes.

We collect information when you register an account, when your organisation creates an account for you, when you use EOL_ONE, when you contact us, when you request support, when you visit our website, through cookies and analytics tools, and from publicly available business information where appropriate.
6. How We Use Information
We use personal information to provide access to EOL_ONE, authenticate users, manage customer accounts, provide technical support, improve platform performance, monitor security, investigate incidents, communicate service updates, comply with legal obligations, respond to enquiries, and send important administrative notices.

EOL_ONE may utilise reputable cloud service providers whose infrastructure may be located within Australia or in other jurisdictions.
Where personal information is transferred outside Australia, Kaffeina will take reasonable steps to ensure appropriate safeguards are in place consistent with Australian privacy laws.
10. Security
Kaffeina employs commercially reasonable administrative, technical and physical safeguards to protect personal information.
These safeguards may include encryption in transit, encrypted password storage, secure cloud hosting, multi-factor authentication where enabled, role-based access controls, security monitoring, system logging, regular software updates and restricted administrative access.
While reasonable security measures are maintained, no online system can guarantee absolute security.
11. Data Retention
We retain personal information only for as long as reasonably necessary to provide the Services, comply with legal obligations, resolve disputes, enforce agreements and maintain backups.
Following termination of a Customer's access to EOL_ONE, Customer Data may be retained for a reasonable period to allow retrieval before secure deletion in accordance with our operational procedures and legal obligations.
12. Access and Correction
You may request access to personal information we hold about you.
You may also request correction of inaccurate or incomplete information.

We may require reasonable evidence of identity before providing access. Access may be refused where permitted by law.
13. Data Breaches
If Kaffeina becomes aware of an eligible data breach under the Privacy Act 1988 (Cth), we will investigate the incident promptly, take reasonable steps to contain the breach, assess potential risks, notify affected Customers where required, and notify the Office of the Australian Information Commissioner (OAIC) where legally required.
14. Third-Party Services
EOL_ONE may integrate with third-party services.
Where you choose to enable third-party integrations, information may be exchanged between EOL_ONE and those services.
Use of third-party services is governed by the privacy policies and terms of those providers.
Kaffeina is not responsible for the privacy practices of third-party services.
15. Children's Privacy
EOL_ONE is a business software platform.
It is not intended for use by persons under the age of 18 years.
We do not knowingly collect personal information from children.

Kaffeina may amend this Privacy Policy from time to time.
The latest version will always be published on the EOL_ONE website.
Material changes will be communicated where reasonably practicable.
